Volunteer Opportunities

Leadership & Development Programs

This program area focuses on a variety of activities created to build leadership skills at all career levels.

Responsible for the overall planning and execution of Leadership & Development programs in alignment with the Strategic and Annual plan. Reports directly to WIT’s Executive Director. Overall responsibilities include:

  • Participating in monthly Program Manager meetings facilitated by the Executive Director
  • Attending the WIT Leadership Team “retreat” (February 2009)
  • Compiling and monitoring the Annual Plan for the Leadership & Development program area
  • Serving as the principal guidance resource for the Chairpersons of Meetings, WIT’s Executive Coaching, WIT’s Careers in Action, and Volunteer Management & Development
  • Attending monthly Program Manager meetings and providing report on program area including information gathered by the program area team
  • Disseminating information to all members of the Leadership & Development program area as requested by the WIT Executive Team
  • Tracking metrics appropriate for the Leadership & Development program area including expenses and revenues for each committee in relation to the budget
  • Submitting draft budgets for each Leadership & Development program as requested for the WIT Finance Committee budget process
  • Coordinating with each Leadership & Development program area Chair to develop plans and timeline for each committee
  • Ensuring that all members of the Leadership & Development program area are completing their assigned responsibilities providing training and guidance as needed

Strategically place volunteers within WIT for optimization of programs including effective succession planning and development of a WIT career path for interested volunteers, development of mechanisms to recognize WIT volunteers and programs to further develop leadership skills for personal and professional development

Primary Benefits: opportunity to learn about all program areas and committee within WIT working closely with the Executive Director; exposure to a variety of WIT leaders and volunteers

Chair-Elect

The Chair-Elect Assists the Chair with all responsibilities as listed above.  This is considered a 2-year placement as the Chair-Elect will step up into the Chair role in the following year.

Focused on early to mid-career level employee in the technology sector; program features a mixture of leadership and professional development topics along with the opportunity to work with a dedicated mentor.

Primary Benefits: exposure to WIT’s innovative leadership development series including the participants, speakers, and advisors involved in the program

Alumnae Management Chair

Enhances the program benefits by providing structured activities for alumnae of WIT’s Careers in Action.

Additional responsibilities include:

  • Organize social events and/or networking opportunities and communicate details to participants/alumnae
  • Develop / manage alumnae network to help generate participant interest, collect testimonials, and find alumni interested in speaking/mentoring roles with current participants

Advisors

Advisors are responsible for working with their assigned group of Participants to challenge, encourage, and motivate them to take action and remain accountable toward furthering their careers. Specifically, Advisors will:

  • Challenge participants to achieve their goals while supporting their professional learning 
  • Help participants apply the knowledge imparted by speakers through one-on-one communications
  • Meet with the participants’ Champion in the beginning of the program to ensure support.
  • Contact the Champion at least once per month during the program
  • Guide participant conversations to provide needed focus for execution of goals
  • Participate in feedback calls with Co-Chairs to ensure that the program is meeting participant expectations and discuss any ideas for modifications and/or best practices 

Chair

The responsibility of WIT’s Careers in Action Chair is to set the overall direction and execution of the program, working with the Leadership & Development Program Manager to ensure program consistency and fit within the Leadership &

Development programs and the WIT Strategic and Annual Plan. 

Additional responsibilities include:

  • Designation of program topics and dates
  • Selection of the Mentors
  • Mentee application process and Mentee selection
  • Select and confirm speakers 
  • Solicit feedback from participants and adjust program as appropriate
  • Provide Mentors suggestions to enhance their leadership and act as a sounding board to help their mentoring process
  • Liaison into WIT
  • Propose and manage the program budget
  • Direct other program volunteer efforts

Chair-Elect

The Chair-Elect Assists with all of the responsibilities listed above for the Chair position.  This is considered a 2-year placement as the Chair-Elect will step up into the Chair role in the following year.

Executive Advisor

The Executive Advisor will work with the Program Chair and Committee to provide motivation, support and inspiration for creating a superior quality program.  The Advisor will also be expected to leverage her network and influence in the technology community to endorse the program. 

Responsibilities include: 

  • Conduct an initial meeting with the Chair to get acquainted with WIT’s Careers in Action program and the goals for the upcoming year
  • Attend initial team’s Kick-Off meeting 
  • Participate in ongoing planning conference calls, no more than once per month – as needed
  • Make select phone calls to encourage executives to consider sponsoring participants for the program
  • Attend portion of first session for each series to speak about importance of the program; provide personal insight into value of program & help women set their goals for the program
  • Attend the final session/graduation for the programs (minimum 2 per year)

Finance Manager

The primary responsibility of the Finance Manager is to monitor and maintain expenses associated with running the program.  Specific tasks include but are not limited to:

  • Request monthly financial reports from the Finance Program Manager
  • Process charity donations on behalf of all speakers 
  • Coordinate with Chair & Chair-elect to make sure that program expenses are effectively managed

Materials Manager

The primary responsibility of the Materials Manager is to prepare and distribute program participant materials. This includes:

  • Participant welcome packages
  • Advisor and Participant Guides
  • Speaker handouts before each session
  • Organize and distribute other program support materials as needed
  • Obtain program graduation gifts

Meeting Manager

The primary responsibility of the Meeting Manager is to ensure the meeting logistics, whether in person or Webinars, are prepared. This includes:

  • Monthly reminder of dates, times, location to participants 
  • Designate the location of meetings
  • Coordinate food orders for meetings
  • Ensure set-up of any equipment needed for meetings
  • Post and/or update the group’s website with vital information (Yahoo Group)

Speaker Manager

The primary responsibility of the Speaker Manager is to review the flow of the meeting with the speaker. This includes:

  • Set a pre-call with the speaker to review meeting logistics: date, time, location, log-in process if applicable, and any special instructions
  • Obtain speaker bio and charity info (see template/past emails)
  • Send speaker bio to the Chairs 
  • Send confirmation emails to each speaker 3-5 days before the meeting
  • Obtain speaker slides for Materials Manager
  • Send speaker thank you notes and gifts 

The WIT Executive Coaching Program prepares women for greater responsibility, accountability & exposure,at the executive level. Program is currently held twice per year (February – April and September – November)

Primary Benefits: exposure to WIT’s Executive Coaching program – including the participants, speakers, and advisors involved in the program

Alumnae Management Chair

Enhances the program benefits by providing structured activities for alumnae of WIT’s Executive Coaching.

Additional responsibilities include: 

  • Organize social events and/or networking opportunities and communicate details to participants/alumni
  • Develop / manage alumni network to help generate participant interest, collect testimonials, and find alumni interested in speaking/mentoring roles with current participants

Chair

Chair

The responsibility of WIT’s Executive Coaching Chair is to set the overall direction and execution of the program, working with the Leadership & Development Program Manager to ensure program consistency and fit within the Leadership & Development programs and the WIT Strategic and Annual Plan.

Responsibilities include: 

  • Coordinating and communicating with speakers and coaches
  • Manage application receipt and participant selection process
  • Set a pre-call with the speaker to review meeting logistics: date, time, location, any special instructions
  • Selecting, securing and managing location & food/beverages for the sessions; communicating with the
  • participants and speakers to ensure locations are known, etc. 
  • Working with Program Manager of Finance to ensure all invoices are delivered to the program participants
  • and monies are collected
  • Attending sessions as needed to help ensure continuity among the sessions 

Chair-Elect

Assists with all of the responsibilities listed above for the Chair position.  This is considered a 2-year placement as the Chair-Elect will step up into the Chair role in the following year.

Additional responsibilities include: 

  • Send confirmation emails to each speaker 3-5 days before the meeting
  • Send speaker thank you notes
  • Obtain speaker bio and any relevant marketing materials including presentation slides
  • Drafting, distributing and compiling results of two surveys throughout each series to gain feedback from the ladies on speaker performance, changes to the program desired, location, etc. 
  • Determine suggested program dates & work with speaker contact (Chair) to ensure all dates are acceptable
  • Designate the location of in-person meetings – coordinate with location on all speaker needs (flipcharts, etc.)
  • Set up the final session & networking event
  • Coordinate food orders for in-person meetings
  • Ordering and managing receipt of awards for graduates
  • Development of participant guides, including speaker handouts, bios, etc.
  • Organize and distribute other program support materials such as resources and recommended reading lists
  • Send Reminder of dates, times, location to participants & speakers

Coaches

Responsible for working with their assigned Participants to challenge them, encourage them, and motivate them to take action and remain accountable toward furthering their careers.

Additional responsibilities include:

  • Meet with their designated participants (one to four women per program series) twice during the program.  (The program will run up to three time per year.)
  • Challenge participants to achieve their goals while supporting their professional learning 
  • Help participants apply the knowledge imparted by speakers through one-on-one communications
  • Guide participant conversations to provide needed focus for execution of goals
  • Participate in frequent feedback calls with Co-Chairs to ensure that the program is meeting participant expectations and discuss any ideas for modifications and/or best practices

  • Attend the final Presentation session at the conclusion of each of the programs (minimum 2 per year)

fit within the Leadership & Development programs and the WIT Strategic and Annual Plan.

Additional responsibilities include:

  • Ensure processes and procedures are documented, implemented and followed by all program volunteers
  • Designation of program topics
  • Manage application process and selection
  • Select and confirm speakers
  • Solicit feedback from participants and adjust program as appropriate
  • Provide participants suggestions to enhance their leadership and act as a sounding board to help their learning process
  • Manage the program budget
  • Work with Executive Director to place volunteers and direct their efforts
  • Attending the WIT Leadership Team Workshop (February 2010)
